ICON invites applications for the position of Commercial Affairs Manager to join the Commercial Affairs team in the Dublin office. This position will be 12 months in duration.
Existing staff who are interested in applying may do so on a secondment basis from their current role.
As a Commercial Affairs Manager, the main focus of your role will be to support the Commercial Affairs function by supporting the Contracts Analysts in preparing change orders for amendments to existing contracts.
JOB FUNCTIONS/RESPONSIBILITIES:
Change Orders
• Effective Line Management of the Contract Analyst Team ensuring change orders are processed in an efficient and timely fashion
• Overview and Implementation of new processes and procedures leading to the early identification and proactive management of change orders, ensuring speedy resolution and contractual sign off in accordance with Commercial Affairs agreed turnaround times.
• Liaison with ICON project management / senior management in order to proactively identify new change orders.
• Contract management by participation in ICON/Client quarterly contract review meetings.
• Providing support to Project Managers in the early identification of out of scope activities on existing EU contracts.
Contracts
• Involvement in the payment scheduling process.
Coordination/Management
• Solicit input and review of change orders from the relevant operational departments.
• Attendance at Contract Handover Meetings and provision of commercial support.
• Provision of change order specific training to operational groups as needed.
• Ensure that Commercial Affairs, the Account Executive and the client are apprised of the status of the change order preparations.
• Provide the relevant information required for negotiations and discussions with clients regarding change orders to the Commercial Affairs and Account Executive.
• Coordination of commercial affairs activities relating to global change orders.
Process
• Actively pursue new change order opportunities within the various operational groups in EU
• Submit approved change orders, on time.
• File submitted change orders and any corresponding costing sheets centrally as agreed.
General
• Prepare and maintain electronic and paper files of all contractual documentation
• Undertake other reasonably related duties as may be assigned from time to time.
QUALIFICATIONS/EXPERIENCE REQUIRED:
• University degree in science / biomedical area or equivalent
• Prior experience in the CRO or pharmaceutical industry is desirable
• Excellent communication and organisational skills
• Must be a self-starter and able to function in a high-paced, dynamic environment
• Excellent working knowledge of MS Office packages
• The ability to work under pressure to tight deadlines
• Previous Management experience essential
